Standardize Spa Operations Across 50+ Stores
- JUSTDOGS
- JUSTDOGS
JUSTDOGS is a popular pet retail chain with 50+ stores across India. Learn how Vasy built a connected system for its pet spa services, spa subscriptions, Micro Bubble Spa bookings, groomer appointment scheduling, material consumption, purchases, and multi-location inventory. Every store now follows the consistent, standard spa service module, billing, inventory, and reports.
Summary
JUSTDOGS is one of India's largest omnichannel pet care retailers. It sells pet food, accessories, and private-label products through 50+ stores across India. It also offers pet care services such as grooming and Micro Bubble Spa sessions. JUSTDOGS runs its store network via company-owned and franchise-owned models. Some stores also run under an alliance model. This makes central control, stock visibility, and uniform processes critical. JUSTDOGS needed a single platform to handle service booking, spa subscriptions, payments, and CRM. Vasy configured and developed a pet-specific spa service module that brought all spa packages, bookings, subscriptions, upgrades, and payments under one centralized system.
About the Client
JUSTDOGS opened its first store in Ahmedabad in 2011. Founders Poorvi and Ashish Anthony have built JUSTDOGS into a national pet care brand and a go-to source for pet products and grooming services. It serves over 2 million pet parents through 50+ stores and operates spas in 10 cities. Currently, it has stores spread across Ahmedabad, Mumbai, Bengaluru, Hyderabad, and Delhi. Pet parents can shop for pet food, treats, clothes, bowls & feeders, accessories, and gift items. The omnichannel store also lists prescription food, supplements, and medicines for pets. What’s more? Customers can even buy pet insurance. They can also bring their pets to the stores for baths, haircuts, nail trims, and Micro Bubble Spa sessions. .

Challenges
Problem Statement
Running and overseeing spa services for pets along with online pet store operations and physical stores creates extreme complexities. JUSTDOGS' current spa services module couldn’t accommodate the growing operational needs and had feature lags.
Complex Spa Service Offerings
- Spa services for pets varied by pet type, breed, size, and coat type.
- Each treatment had many breed and coat variants to manage.
- Each service needed multiple pricing fields, such as MRP, discount, selling price, and status.
- Bookings had to be managed across varied time slots.
Multiple Packages & Subscription Plans
- Multiple spa service booking plans from one-time to fortnightly, monthly, annual, etc.
- Staff tracked subscription packages on outdated systems.
- Package validity, free sittings, and part-payments needed close monitoring.
- Upgrades and cancellations needed automated tracking
Issues in Groomer Session Allotment
- There was no single view of all groomers and sessions.
- Double booking of the same slot and groomer was an issue.
- Groomer leave or half-days disrupted pre-booked sessions.
- Groomers working across multiple stores were difficult to track.
Purchase Orders & Locations
- PO approvals and supplier communication were not standardized.
- Stock purchase needed better control between inward, approval, and billing.
- Stock, sales history, and reorder data were not available while creating POs.
- There was no way to generate a supplier bill directly from material inward.
Inventory Control
- Expired products were not marked as material consumption.
- Location-wise stock was not displayed.
- Inventory for spa supplies needed more visibility.
- Expiry and batch details were hard to track.
Pet Owner Consent & Session Accountability
- Consent forms were not linked to individual spa sessions.
- No OTP verification from pet owners before starting a session.
- Agent drop-offs had no record of agent contact or relationship with the owner.
- Session stages and post-grooming feedback were not tracked.
Spa Service Billing at POS
- POS had no separate option to bill retail products and spa services.
- Staff could not filter services by pet type, breed size, breed, or coat type.
- Package start and end dates were set manually at billing.
- Pay-now and pay-later spa bills lacked a linked subscription record.
Subscription Upgrades, Refunds & Free Sittings
- Mid-way upgrades had no rules for eligible higher-sitting plans.
- Unused sitting value was hard to adjust against the new plan price.
- Cancellation refunds needed to exclude GST and free sittings.
- Free sittings on annual plans had no coupon-based control.

Book a DemoVasy created a Package Master where admins set each package and its sittings once. Current packages include One Time (1 sitting), Fortnightly (24 sittings), Monthly (12 sittings), Quarterly (3 sittings), and Half-Yearly (2 sittings). These packages then appear at every JUSTDOGS store that offers spa services.
Each service name is generated automatically from sub-category, breed size, and coat type. For example, “Microbubble Spa Small Breed Short Coat.” Names stay the same across stores and remain editable.
Every service form captures details such as pet type, breed size, breed name, and coat type. Timings are set in minutes for accurate slot planning and time-wise session booking. Pet types, breed sizes, and breeds can be added manually or through Excel.
Admins can add MRP, discount, selling price, margin, and Active/Inactive status for each service. They can tick the ‘Is Subscription’ box to add packages to a service. A service without any package is treated as a one-time sitting.
Every package follows a clear schedule. Fortnightly means one sitting every 15 days. Monthly means one sitting a month. Annual plans carry fixed sittings plus free sittings added through coupons.
The start date defaults to the billing date. The end date is auto-set one year ahead. If a plan expires with sittings left, staff can request access, which the super admin approves.
A dedicated package list in POS shows customer, package, total, used, and remaining sittings. It also shows total amount, due amount, and payment status: Paid, Pending, Partial, or Overdue.
Each subscription opens into tabs for service details, receipts, credit notes, history, and appointments. Pet details and the payment summary sit on the same screen.
When the POS register opens, staff select the groomers on duty. Only that store’s groomers appear. Groomers can be transferred to another store through the Employee module.
Vasy added a slot-based booking module. Slots run from 8:00 AM to 10:00 PM in 30-minute steps, split into Morning, Afternoon, and Evening. Booked slots show in red. Only available groomers appear for the chosen slot.
Once a date, time, and groomer are booked, the slot locks. It opens again only after a cancellation or reschedule.
Vasy developed a calendar in POS that shows every groomer’s sessions in 60-minute blocks. Color codes mark booked, ongoing, completed, canceled, and unassigned sessions. Hovering shows the customer, pet, service, time, and status.
If a groomer is on leave or working a half-day, staff drag sessions to an available groomer. Filters by groomer, status, and pet type keep the view clean.
POs show available stock, last month’s sales, last 3 months’ sales, reorder level, and min-max levels. Buyers order on demand, not guesswork.
Approved POs trigger emails to the supplier and the branch. Edits and cancellations follow in the same email trail.
Stock updates only when material inward is approved. Approval rights follow user roles.
Supplier bills are created directly from material inward. One bill can cover multiple inwards.
A Material Consumption button on each session records the shampoos and supplies used. Spa inventory stays accurate, session by session.
Expired products move to material consumption by default. They no longer sit in saleable stock.
Stock now displays by location, with batch and expiry details. Store teams know exactly what is on hand.
Stock-out entries stay pending until approved. Rejected entries have no stock impact.
Each sitting moves from Booking Confirmed to Booking Approved, In-Progress, and Completed. Only the allowed actions show at each stage.
The consent form auto-fetches pet and booking details. Staff add the rest and send it to the owner or agent.
An OTP goes to the owner’s registered contact. The session starts only after the OTP is entered. Expired OTPs can be resent.
For agent drop-offs, the agent’s phone number and relationship with the owner are mandatory. After the session, staff can send an optional feedback form. Responses show on the view page.
Provides a means to manage production output by tracking the individual batches of production.
Staff filter services by pet type, breed size, breed name, and coat type. Only relevant services appear, along with their timings.
Selecting a customer auto-fetches their pets. For multi-pet households, staff picks the right pet from a dropdown.
Packaged services open a pop-up for plan and start date. Sittings and price stay non-editable in the bill. Customers can pay on the spot or later, and every bill creates a subscription record with its status.
The system works out the upgrade cost on its own. Any sittings left on the current plan are used first, at their original price. After that, the new plan's sittings apply at the new price, with GST added to the upgrade. The new plan's validity starts from the day payment is made. Staff don't need to do any manual calculation.
Canceling an active package creates a credit note for unused sittings. The credit covers only the service amount, without GST. Free sittings are never refunded.
The coupon module now supports services. Admins create Buy X Get Y coupons that add free sittings to annual packages. Free sittings do not carry forward when an annual plan is upgraded.

Implementation Highlights
Key milestones showcasing how Vasy food business ERP unified Prashant Corner’s operations.
Masters Configuration
Vasy's development team started by setting up masters for packages, services, pet types, breed sizes, and breeds. These masters work as the base for every spa service. Once the masters were set up, each service form carried the details needed to book, cancel, and upgrade a service package.
Groomer and Store Mapping
Vasy linked every groomer to their store. When a store opens its POS register, staff simply select the groomers working that day. Only that store's groomers show up in the list. If a groomer moves to another store, the transfer is done through the Employee module.
Booking Rules and Calendar Setup
Vasy’s development team set clear rules for spa bookings. Time slots run in 30-minute steps, and each session status has its own color code, so staff can read the calendar at a glance. The system stops new bookings when all sittings are used, or the plan expires.
Subscription Plan
All spa plans were arranged in order, from one-time to fortnightly. This makes the upgrade path easy. Pet parents can only move to a plan that offers more sittings in a year. The system calculates the cost of the upgrade on its own.
Approval Workflows and User Roles
Vasy set up an approval process for key actions, such as approving material inward and marking material consumption. Only users with the authorized role can approve them. This keeps every store in check and gives head office full control.
The Impact
With the Vasy Spa Module, JUSTDOGS now runs its grooming services with the same control as its retail counters. The spa is no longer a separate, hard-to-track part of the business. It now works as one connected system with the rest of the store. Every spa service now has the right name, timing, and price for each breed size and coat type. At billing, cashiers use pet-based filters to find the right service in seconds. This means less confusion at the counter and faster billing for pet parents.
Staff can now see every detail of a pet's spa plan in one place. This includes used and remaining sittings, plan validity, and pending dues. Upgrades, cancellations, and free sittings follow fixed rules, so no manual calculation is needed. One calendar now shows every groomer and every session for the day. The system blocks double bookings on its own. If a groomer is on leave or working a half-day, staff move that groomer's sessions to someone else with a simple drag.
Each session now has a clear record. The pet owner approves the consent form with an OTP. If an agent drops off the pet, the system records the agent's contact details and relationship to the owner. Purchase orders are now based on real sales data. Stock updates only after approval. Spa supplies and expired products are tracked too.
